ABOUT THE PHONE CALL & MESSAGE SITUATION:
We have a very high volume of calls at this office so you usually need to leave a message, even though our secretary is in the office Monday through Friday. Currently we are receiving over 100 calls a day, so we have had to use our voice mail system more. We will be instituting a texting system soon that should be more convenient and eliminate the phone tagging that is happening. SO if you need to call more than once, please leave a message each time. Our secretary calls back once - if you don't pick up, she will leave a message, and you will have to call again. We have had a few reports of people calling repeatedly, but when we have audited the system, we have not found repeated calls, so please leave a message each time you call.
In order to schedule you for your first appointment, we will need to know when you call:
1. full name of patient
2. type of problem ( for example: depression, anxiety, attention problems, etc.)
3. date of birth
4. insurance ID# from your insurance card (also called Member Number or Contract Number)
5. credit card number to secure and hold the appointment. Because we set aside an hour for you for your first appointment, a charge is incurred if you fail to show up for the appointment. If you have no credit card, you can discuss other options with the secretary.
Please have the above information available when you call or we will not be able to schedule you.
If you are leaving a message, please leave the following information:
1. Name and age of patient
2. Name of caller and your relationship to patient (mother, father, etc.)
3. Phone number
4. Brief description of type of problem: anxiety, depression, ADHD, bipolar, etc
5. Name of insurance company
This will greatly expedite our ability to quickly schedule you.
ALWAYS TELL US IF YOU ARE BEING REFERRED BY YOUR THERAPIST OR ANOTHER DOCTOR!
If you need to cancel, schedule, or reschedule, leave a detailed message.
If you are in need of a refill, this means you have missed an appointment, because Dr. Hartmann always arranges for you to return before you run out of medicine. Refills are NOT automatically called in - each one is reviewed by Dr. Hartmann for his approval. Before he will call in a refill, you must have your next appointment scheduled with the secretary. He will then call in enough medication to last until the scheduled appointment. Please do not call Dr. Hartmann's emergency number for refills - he has no medical records with him if he is out of the office. These calls need to go through the secretary.
PLEASE PROVIDE ALL THE FOLLOWING WHEN REQUESTING A REFILL:
Name of patient, phone number, date of birth, medication name, medication dosage, directions (how many times you take it each day), and pharmacy name and number. Refills will be called in within 24 to 48 hours on weekdays. No refill calls are processed on weekends. If you call after 1:00 PM on Friday, we will usually not process it until Monday, unless you already have a scheduled appointment - plan accordingly!
